Configuring Outlook in the classroom

To configure Outlook in the classroom perform the following steps:

Open Outlook  - Start > All Programs > Microsoft Office > Microsoft Office 2003 > Outlook 2003

Click Tools > E-mail Accounts > Add New E-mail Account and click Next

Select POP3 and click Next

The E-mail Accounts screen will appear

The account settings will vary slightly for each machine.

Here are the items that remain the same on all machines:

Your Name:  ROP Student
Incoming Mail Server: mail.cccoe.k12.ca.us
Outgoing Mail Server: mail.cccoe.k12.ca.us
Password: instructor will distribute

The E-mail Address and the User Name will vary from machine to machine.  All E-mail addresses in the classroom use the same format:  rop##@cccoe.k12.ca.us, the ## changes for each machine.   In Windows XP all computers are given a name.  The rop## used for the e-mail address and user name is actually the computer name.  You can find the computer name by performing the following steps:

Click Start > My Computer

Under the System Tasks area of the dialog box click View System Information.  Click the Computer Name tab.  Use the ROP## number found under the Full Computer Name area of the dialog box. 

The User Name will have the same format rop##, the ## will be replaced with a two digit number.

General Directions

NOTE:  Ask an instructor to copy the student files to your network directory. Have instructor check the workstation for email setup and removal of previously used files before beginning work.

Page 5: Do not make any changes to the Work Account Properties (Under Tools > Accounts > Properties). The POP3 (incoming) and SMTP (outgoing) mail servers for the classroom should be mail.cccoe.k12.ca.us, the User Name should be rop## and the Password is password. Do not use your login name in Outlook.

Page 11:  The address syntax in the classroom is rop##@cccoe.k12.ca.us.  The ## will change depending upon the station you sit at.

Do not use Outlook for personal mail.  Anyone in the classroom can read messages sent and received in Outlook.  If you want to send personal mail messages, sign up for an account at http://www.hotmail.com or http://mail.yahoo.com.

ASSIGNMENT
General Directions:

Complete all reading and work in text.

After completing the text, staple all Lesson print-outs in order, create a cover sheet and submit for instructor review.

Clearly identify each print-out by Lesson Number.

Lesson Specific Directions:

Lesson 1:  Print the ‘Curt Robbins’ search result page.
Lesson 2:  Read and highlight carefully; nothing to hand in.
Lesson 3:  Print out email page 50, 54.
Lesson 4:  Print out recurring appointments, page 93/
Lesson 5:  Print out your three contacts, page 114.
Lesson 6:  Print out the 6 tasks, page 132.
Lesson 7:  Print out the 6 notes in List View, page 148.
Lesson 8:  No print out required.

Final Project:  Get one of your instructor’s business cards.  Add the relevant information to your contacts list, print out.  Send your instructor an email saying you have completed the Outlook 2000 lessons and will be handing them in; print out.  Add the two print outs to the end of your lessons packet.
